Continuing Education

VillageMD supports team members and providers in continuing their education to enhance their clinical knowledge and grow professionally. Two benefit programs offer reimbursement for eligible education expenses: Continuing Education Units (CEU) for clinical team members and Continuing Medical Education (CME) for providers.

Continuing Education Units (CEU)

Full-time, regular clinical team members can be reimbursed up to $250 per year for approved expenses related to continuing education and license renewal. Team members also may take up to three days in addition to available Allowed Time Off (ATO).

To be eligible for reimbursement, courses or events must be related to your current job/role, and you must have approval from your direct manager prior to the event.

The Continuing Education Reimbursement Policy covers:

  • Registration fees for conferences, seminars and/or webinars
  • CEU required to maintain licensing status or improve clinical effectiveness
  • Fees associated with license renewal
  • NOTE: This policy does not cover travel costs or accommodations such as hotel, car rental, meals, etc.

Once you submit an expense report, approved expenses are generally reimbursed within 30 days.

CEU/License Reimbursement

Follow these steps to submit expenses for CEU required to maintain licensing status or improve clinical effectiveness, or for license renewal:

  • Register and pay fees for CEU courses or licensure
  • Log in to Concur to submit expenses to your direct manager
    • Click “Start a Report”
    • For “Report name,” enter “CEU Reimbursement”
    • For “Market,” enter the market in which you are based
    • Click “Next”
    • On the Travel Allowances page, click “Cancel”
    • Under “Expense Type,” select “Continuing Education”
    • Input course information and attach your receipt and any ancillary documents (e.g., course overview)
    • Click “Submit”

Conference/Seminar Reimbursement

Before attending a conference/seminar, you must email your manager to request reimbursement for related fees. Your email must include:

  • Date(s) of conference/seminar
  • Description of event including conference topics and anticipated number of days you will be away from work
  • Registration cost requested for reimbursement

Within 30 days after the event or when you paid to register, submit your reimbursement request via Concur, and include your registration receipt and a copy of the event agenda.

If you would like to be reimbursed for an educational opportunity that does not meet the above criteria, approval and reimbursement are at the sole discretion of the company and must be approved by a local market leader.

Continuing Medical Education (CME)

Village Medical’s Clinician Development Program is designed to enable successful execution of the VillageMD clinical model. The Continuing Medical Education (CME) benefit aims to provide a comprehensive, diversified learning infrastructure to support focused, efficient and effective learning.

Adult Primary Care Non-PRN Providers (MD, DO, NP, PA)

The CME benefit for adult primary care non-PRN providers includes:

  • Up to $1,200 for completing quarterly training sessions focused on key components of the clinical model. Providers will be paid $300 for completion of each session, up to an annual maximum of $1,200.
  • Reimbursement for membership expenses associated with joining one of the following eligible professional associations:
    • American College of Physicians
    • American Academy of Family Physicians
    • American College of Osteopathic Family Physicians
    • American College of Osteopathic Internists
    • American Academy of Pediatrics
    • American College of Obstetricians and Gynecologists
    • American Academy of Physician Associates
    • American Association of Nurse Practitioners
  • Five allocated days for CME completion.
  • Access to UpToDate, a tech-enabled education and clinical decision support platform that aligns continued clinical education with CME opportunities.
  • Access to simulated, case-based learning modules that align continued VM clinical model education with CME opportunities.

Adult Primary PRN Providers (MD, DO, NP, PA)

The CME benefit for adult primary care PRN providers includes:

  • Access to UpToDate, a tech-enabled education and clinical decision support platform that aligns continued clinical education with CME opportunities.
  • Access to simulated, case-based learning modules that align continued VM clinical model education with CME opportunities.

SPECIALIST, NON-ADULT PRIMARY CARE | NON-PRN PROVIDERS (MD, DO, NP, PA)

The CME benefit for providers primarily practicing non-adult primary care includes:

  • Up to a $1,200 annual stipend ($300 per quarter) to pursue relevant external CME opportunities. Stipends will be paid within 30 days of the end of each calendar quarter and will be prorated based on calendar days employed in the quarter.
  • Reimbursement for membership expenses associated with joining a single professional association.
  • Five allocated days for CME completion.
  • Access to UpToDate, a tech-enabled education and clinical decision support platform that aligns continued clinical education with CME opportunities.

Providers meeting the below criteria may be eligible for the specialist, non-adult primary care CME benefit:

  • Providers who are dual-boarded, such as Internal Medicine and Pediatrics, will be eligible to elect either the adult or non-adult primary care CME benefit. Providers should elect the CME benefit that most closely aligns to current practice and services delivered.
  • Specialist providers
  • Providers primarily delivering services in a hospitalist role.

PHARMACISTS (RPH, PHARMD)

The CME benefit for pharmacists includes:

  • Up to a $1,200 annual stipend to pursue relevant external CME opportunities. Stipends will be paid on a quarterly basis ($300 per quarter) and will be prorated based on calendar days employed in the quarter.
  • Reimbursement for membership expenses associated with joining a single professional association.
  • Five allocated days for CME completion.
  • Access to UpToDate, a tech-enabled education and clinical decision support platform that aligns continued clinical education with CME opportunities.

Continuing Medical Education Benefit Details

  • To earn credit for training session completion, providers must either join sessions live, either in-person or virtually, or complete on-demand modules via VillageU.
  • Compensation earned for completing VillageMD education sessions and stipend amounts will be treated as income and subject to tax withholding and deductions.
  • Adult primary care providers eligible for compensation will be paid within 30 days of completing the live training session, or within 30 days of the recording completion window for completing the training session virtually.
  • Compensation-eligible training sessions will be prorated based on employment start date, following the proration schedule below. Providers can complete additional training beyond eligible prorated amounts but will not receive additional compensation.

  • All expenses associated with professional association membership fees will be submitted via VillageMD’s expense system (Concur) and will follow requirements outlined in the expense and reimbursement policy.
  • In the event allocated CME days are exceeded, physician and APP providers will be required to use Allowed Time Off (ATO).

Clinician Expense Reimbursement

Village Medical will directly reimburse all providers (MD, DO, NP, PA) for the expenses listed below. All expenses will be submitted via VillageMD’s expense system (Concur) and will follow requirements outlined in the expense and reimbursement policy.

  • Medical licensure expenses
  • DEA license costs
  • Board certification maintenance and exam costs
  • Basic Life Support (BLS) certification costs
  • Hospital staff fees required to meet credentialing and VMD contract participation requirements

In addition, VillageMD will cover phone expenses related to physicians’ on-call and patient care obligations, subject to the cell phone policy outlined in the Travel & Expense policy.
