Parental Leave

Welcoming a new child to your family is a busy, joyful time. VillageMD offers parents time off for caregiving, bonding and recovery after childbirth or adoption.

To participate in Parental Leave, team members must be benefits-eligible (work 30 or more hours per week). Parental Leave—also known as bonding time—can be combined with Maternity Leave and Paid Time Off (PTO).

Parental Leave

Eligibility

Parental Leave is available to:

  • Birthing mothers after delivering their baby, following their Maternity Leave
  • Non-birthing parents after the birth, adoption or placement of their child

How It Works

  • Parental Leave is paid at 100% of regular pay.
  • Parental Leave must be taken continuously and within 6 months after the date of the delivery, adoption or placement.
  • Eligible parents may take up to 4 weeks of Parental Leave within a rolling 12-month period.
  • Team members may continue their existing VillageMD health insurance coverage while on leave, subject to the normal cost-sharing.
  • Paid Parental Leave runs concurrently with FMLA leave.
  • If both parents are VillageMD team members, both will be eligible for a combined eight weeks of Parental Leave within a rolling three-year period, with approval from their respective supervisors or the Human Resources Department. Parents may not take their leaves of absence simultaneously unless they obtain written approval from VillageMD.

Maternity Leave

Eligibility

Maternity Leave, also known as post-delivery medical recovery, is covered for birthing mothers under VillageMD’s Short-Term Disability (STD) benefits.

How It Works

  • Maternity Leave is paid at 60% of base compensation, up to $2,000 weekly, minus any income from other sources such as statutory paid medical or family leaves (in applicable states) or Social Security.
  • Birth mothers may take up to 6 weeks of Maternity Leave after a vaginal birth, 8 weeks after a Caesarean section.
  • Paid Maternity Leave must be taken continuously beginning immediately after childbirth.
  • Paid Maternity Leave runs concurrently with FMLA leave.

Paid Time Off

Eligibility

  • Employees eligible for Flexible PTO are allowed to take 4 weeks of Paid Time Off to extend their Parental Leave.
  • Employees eligible for accrued PTO may take up to 4 weeks of Paid Time Off to extend their Parental Leave, to the extent they have accrued and reserved the time for this purpose.
  • PTO may be taken intermittently or continuously.

How It Works

  • PTO runs concurrently with FMLA leave.

Steps to Take

Communication is key to ensuring a smooth transition when taking or returning from a leave. Throughout your leave, you are responsible for keeping your Leave Team updated and responding to their requests without delay.

Your Leave Team

Your Leave Team includes:

  • Your direct supervisor. Your supervisor needs to know your status and return-to-work plans in order to maintain the proper level of shift coverage while you are away. Communicating regularly with your supervisor is part of the process that helps ensure your job will be held until your return and your benefits and pay continue (if applicable) while you are on leave.
  • Matrix Absence Management, VillageMD’s disability and leave benefits administrator. To file a claim or check the status of your claim, log in to matrixabsence.com or call 1-877-202-0055.

Your Role in Parental and Maternity Leave

  1. Notify your direct supervisor and the VillageMD Benefits Team
    Email the Benefits Team at least 3 months in advance of the child’s due date, adoption or placement. If 3 months’ advance notice is not possible due to a change in circumstances or a medical emergency, notify the Benefits Team as soon as practicable. Provide the start date and estimated duration of your absence. You do not need to discuss private health issues when providing this information.
  2. File a Claim with Matrix
    Call Matrix Absence Management at 1-877-202-0055 or log in to matrixabsence.com to file a claim for your leave and/or disability benefits. If you’re accessing the web portal for the first time, you will need to set up an account. Matrix will determine your eligibility for any additional leave types associated with your request.
  3. Provide supporting documentation to Matrix as requested
    You are responsible for ensuring medical information is supplied promptly by your health care providers.
  4. Communicate about your return to work
    Keep your supervisor and Matrix informed about your return-to-work status and any work restrictions.

FMLA and Benefits Notes

VillageMD’s Parental Leave policy does not interfere with, extend or expand your rights for unpaid leave under the Family and Medical Leave Act (FMLA). FMLA policy details are available on Polly. Log into OneLogin (password required). 

Continuation of Benefits

As outlined in our FMLA policy, VillageMD will maintain your benefits while you on leave as long as you pay your share of the benefits cost. Failure to pay after 30 days may result in termination of coverage, with 15 days’ advance notice from VillageMD.

Benefit Changes

If you want to make changes to your benefits (i.e. adding a newborn or newly adopted child), please report the birth or adoption within 30 days of the delivery date or adoption date via benefits@villagemd.com. While the birth certificate may not be immediately available, we will allow you to enroll your eligible dependent immediately. You must produce the supporting documentation within 60 days after the birth.
